Ear Works Stacks – Group and conquer!

Ear Works Stacks don‘t need to have only one type of document, they can have files, invoices, bills, letters etc. in any combination you need. The purpose of a stack is defined by you and you can create as many stacks as you need.

Do you have some patient files you still need to add some progress notes to? Add them to a stack one by one and deal with them all when you have an extra moment.

Technical Information:

Ear Works 4 is a client-server application so it has two components:

  1. the Server stores the manages the data for the entire company and needs to be installed on one machine only. In a multi-office architecture, all the information for all the offices will be stored in the same database managed by the Server.

The Server is a SQL Server 2008 DB Engine (by default the Express edition).

  1. the Client is the interface between the Data and the User and needs to be installed on each computer in your clinic.

It is the application that the user interacts with, providing and requesting information in various formats. In layman’s terms, the Client is the only thing you see and use while the Server is the back-end data manager.

The Client Application is based on the Microsoft Access 2007 rapid development environment. The Microsoft Access 2007 Runtime is installed automatically so no extra licenses are needed.

Only one computer in the network runs the Ear Works 4 Server Components and each workstation runs the Ear Works 4 Client Application. You can install the Client Application on the machine running the Server Components.

Please note, Ear Works 4 can not be installed on Microsoft Windows 2000 or earlier. See the next sections for detailed system requirements for the server and client applications.

Regarding the infrastructure, for best results we strongly recommend a Gigabit LAN (local area network) . This is not mandatory but it drastically improves the data communication speed on your network and all network applications will benefit from it, including Ear Works and NOAH.

When properly set up, Ear Works creates automatically backup files on your server, but it’s always a good idea to put these files on an offsite location, just in case. For example if the server is stolen or completely destroyed in a fire, there’s no way you can get back that info.

There are a few ways of moving a backup file off-site:

  1. save to FTP: if you have an FTP server then you can use an automatic FTP uploader that can upload the backup created automatically by the Ear Works Server. There are a few free ones available and also some paid ones. You can also do this upload manually each day, as part of your office closing or opening routine
  2. USB stick: you copy the backup file on a usb stick as part of your office closing or opening routine. This can be the task of one of your employees or your office manager.
  3. regular back-up on an external drive. It’s always a good idea to back up your server regularly, and you can include the Ear Works backup files on it. Use an external hard drive to do that and do it let’s say every week, then take the hard-drive home with you. This way, in case the disaster strikes, you won’t loose so much info, depending how often you back up. There are backup managers available that can simplify this task a lot.
